Safeguarding Procedures

Overview

OverExposure Sports Ltd is committed to creating a safe environment where vulnerable individuals can enjoy sports. This document details procedures for safeguarding. It is available on the Centre’s website, and any questions or feedback can be directed to the Safeguarding Officer at safety@theprojectclimbingcentre.co.uk.

Review

The procedures are reviewed annually and updated as needed.

Purpose

The document ensures operating procedures:

  • Protect vulnerable individuals from abuse
  • Minimise risk of accidental injury
  • Address safeguarding for young adults up to age 25
  • Comply with UK legislation and guidance

Audience

This is designed for staff, managers, board members, volunteers, and anyone representing OverExposure Sports Ltd to fulfil safeguarding responsibilities.

Commitments

  • Safeguard all vulnerable individuals, valuing, listening to, and respecting them.
  • Appoint a Designated Safeguarding Officer (DSO), deputy, and board lead for safeguarding.
  • Adhere to best practices in policies, procedures, and conduct.
  • Ensure staff are trained in online safety and safeguarding.
  • Implement anti-bullying, whistleblowing, and complaint measures.
  • Maintain a safe environment by applying health and safety regulations.

Standards

Following NSPCC’s six standards, the safeguarding approach covers:

  1. Safer staff and volunteers
  2. Child protection and young adult safeguarding
  3. Preventing and responding to bullying
  4. Conducting safe activities and events
  5. Recording and storing information securely
  6. Collaborating with external agencies

Key Procedures

  • Recruitment, Induction, and Supervision: Clear job descriptions, vetting, and DBS checks for staff; training for safe practices.
  • Protecting Children and Young Adults: Reporting concerns to the DSO, maintaining accurate records of incidents, early intervention, and a focus on reducing abuse risks.
  • Allegations: Handling allegations against staff, other adults, and minors with appropriate reporting and record-keeping.
  • Photography: Measures to prevent misuse of images at events.
  • Whistleblowing: Staff are encouraged to report concerns about organisational behaviour that endangers vulnerable individuals.

Recording and Information Sharing

  • Maintain accurate, confidential records to protect vulnerable individuals.
  • Information is shared on a ‘need to know’ basis, and appropriate consent is sought wherever possible.
